Privacy Policy
Last updated: October 2026
This privacy policy informs you of how we handle your personal data on velox-kai.ch. It is based on the revised Swiss Federal Act on Data Protection (FADP, in force since 1 September 2023) and, where applicable, on the EU General Data Protection Regulation (GDPR).
Controller
The party responsible for the processing of data on this website is:
Matthias Hasler · Velox-KAi (sole proprietorship) Untere Bruech 113 · 8706 Meilen · Switzerland info@velox-kai.ch · velox-kai.ch
For any questions or requests concerning data protection, you can reach us at info@velox-kai.ch.
What data we process and for what purpose
We process personal data only to the extent necessary for the purposes described below. We collect as little data as possible.
a) Server log files (technically necessary)
Our website is hosted with Infomaniak Network SA in Switzerland. When the website is accessed, the server automatically processes technical connection data transmitted by your browser. This typically includes:
- your IP address,
- the date and time of access,
- the page or file accessed,
- the browser type and operating system used,
- where applicable, the previously visited page (referrer).
This data is technically necessary in order to deliver the website, ensure its operation, and detect malfunctions and misuse. The processing is based on our legitimate interest in the secure and stable operation of the website. We do not analyse these log files in order to identify you as a person, nor do we combine them with other data. The web log files are stored by Infomaniak in Switzerland. How long they are kept is set by Infomaniak (according to Infomaniak, at least seven days); we cannot shorten this period ourselves. Once the period has elapsed, Infomaniak deletes the entries; we are clarifying the exact period with Infomaniak and will tell you on request to info@velox-kai.ch.
To protect our forms against misuse, we also count how often a form is sent from an IP address and for an e-mail address. For this we store neither the IP address nor the e-mail address itself, only a check value formed with a secret key. The counters apply for at most 24 hours and are then deleted automatically.
b) Newsletter sign-up
When you sign up for our newsletter, we process your e-mail address (mandatory) and your name (optional).
Purpose: sending our newsletter with information on AI developments, insights, and topics from the Zurich area.
Legal basis: your explicit consent. We use a double opt-in procedure: after you sign up, you receive an e-mail with a confirmation link. Only after your confirmation do we add you to the distribution list. We log this confirmation step (the time of sign-up and of confirmation, and the IP address and browser details at the confirmation click) in order to be able to demonstrate your consent.
Withdrawal: you can withdraw your consent at any time, without any disadvantage arising. Every newsletter contains an unsubscribe link. Alternatively, a short message to info@velox-kai.ch is sufficient. The withdrawal takes effect upon receipt; the lawfulness of the processing carried out up to that point remains unaffected.
Retention: we process your data until you unsubscribe or withdraw your consent. After that you receive no further newsletters; your e-mail address is kept only as a suppression entry, together with the record of your consent. We delete both one year after you unsubscribe.
c) Quick-check result by e-mail
When you request, via our quick check, to receive the result by e-mail, we process your e-mail address (mandatory), your name (optional) and your result (the biggest lever according to the quick check).
Purpose: one-time delivery of the result that you yourself requested. This is a transactional e-mail, not advertising.
Legal basis: performance of the measure you requested (an action carried out at your request). We do not use this e-mail address for the newsletter or for any other advertising, unless you have signed up for that separately. If you also tick the box for KI-Znüni, you receive a separate confirmation e-mail; we add you to the distribution list only after you confirm (see b).
Retention: we do not store your details ourselves. Brevo keeps the dispatch log (e-mail address, time, delivery status) for one month and deletes it thereafter.
Processors and hosting
We use carefully selected service providers who process personal data on our behalf. We have concluded the agreements required under data protection law with them (data processing agreements). They store the data in Switzerland or the European Union. The exceptions are the embedded video (see "Embedded videos") and rare access by Microsoft from third countries (see "Storage location and data transfer").
- Infomaniak Network SA (Switzerland): hosting of the website. The data is processed in Switzerland.
- Brevo (Sendinblue SAS, France): sending of the newsletter and of the quick-check result e-mails. Brevo processes the transmitted data (e-mail address, name, dispatch and delivery information) as a processor. The data is processed and stored on servers within the European Union.
- Microsoft (Microsoft 365, EU data region): our mailbox info@velox-kai.ch, where requests from our forms arrive, our calendar, appointment booking via Microsoft Bookings and online conversations via Microsoft Teams. The data is held in our Microsoft 365 account with the EU data region.
We do not pass your data on to any further third parties, and we do not sell any data. Exception: if you play the video on the Benetics partner page, Google receives data (see "Embedded videos").
Embedded videos
A YouTube video is embedded on the Benetics AI partner page (Google Ireland Limited). It only loads when you click «play»; until then there is no connection to YouTube. With the click your browser loads the video from youtube-nocookie.com. Google receives in particular your IP address and technical details of the request and may store data on your device (local storage, and cookies after playback). We are jointly responsible for the transfer on loading; Google alone is responsible for further processing, and Google's privacy policy applies. Google may also process data in the USA; for companies certified under the Data Privacy Framework, Switzerland and the EU recognise an adequate level of data protection. By clicking you consent to the video being loaded. If you do not want this, do not click the video.
Cookies and audience measurement
We set no tracking or advertising cookies and load no third-party services without your click. The only exception: if you play the video on the Benetics partner page, Google may store data on your device (see "Embedded videos"). Fonts are served directly from our server (no external font network).
To the extent that we ourselves use cookies, these are technically necessary for the website to function correctly. No consent is required for this.
Storage location and data transfer
We store personal data exclusively in Switzerland and/or the European Union. From the perspective of Swiss data protection law, the EU offers an adequate level of data protection. Under its contract with us, Microsoft may in rare cases, for example for support, maintenance or defence against security attacks, also access this data from countries outside Switzerland and the EU, in particular the USA. Such access is safeguarded by the European Commission's standard contractual clauses in Microsoft's data protection agreement. If you play the YouTube video, Google may also process data in the USA (see "Embedded videos").
Request a conversation (contact form)
When you write to us via the contact form ("Request a conversation" or "Prefer to write?"), we process the details you enter (name, email address, optionally company, topic and preferred time) solely to arrange the conversation. The request is transmitted by email to info@velox-kai.ch, and you receive a confirmation. Sending is handled via Brevo (see above). We delete the request and our correspondence about it at the latest 12 months after your request, unless an engagement has resulted from it. Brevo deletes its dispatch logs after one month.
If you choose a time directly via "Pick a time", this happens on the Microsoft Bookings page in our Microsoft 365 account (EU data region). We receive the details you enter there (name and email address, and optionally further details such as phone number or topic) and the chosen time; you receive a confirmation by email. If the conversation takes place online, we use Microsoft Teams, also in our Microsoft 365 account. Microsoft may set its own cookies on the booking page; Microsoft's notices apply to these. We use the details only for the conversation and delete the appointment and details at the latest 12 months after the appointment, unless an engagement has resulted from it.
If you sign up via "I'd like to help test" as a tester for one of our apps, we process your email address and optionally your name or firm solely to activate your access and contact you. The request is transmitted by email to info@velox-kai.ch, and you receive a confirmation (sent via Brevo); no list is kept. We delete the request at the latest 12 months after you sent it.
Your rights
Within the framework of the applicable data protection law, you have in particular the following rights:
- information as to whether and which personal data we process about you,
- rectification of inaccurate data,
- erasure of your data, insofar as no statutory retention obligation stands in the way,
- withdrawal of a consent given, with effect for the future,
- objection to certain processing,
- insofar as the GDPR is applicable, additionally restriction of processing and data portability.
To exercise your rights, a message to info@velox-kai.ch is sufficient. For security reasons, we may verify your identity in an appropriate manner before providing information. We will respond to your request within the statutory period (as a rule 30 days under the FADP, or one month under the GDPR).
Right to lodge a complaint
If you are of the view that we are not processing your data lawfully, you can contact the competent supervisory authority. In Switzerland, this is the Federal Data Protection and Information Commissioner (FDPIC), Feldeggweg 1, 3003 Bern (edoeb.admin.ch). Insofar as the GDPR is applicable, you can contact the data protection authority of your country of residence.
Data security
We take appropriate technical and organisational measures to protect your data against loss, misuse, and unauthorised access. Data transmission on this website is encrypted (TLS/HTTPS).
Changes to this privacy policy
We may adapt this privacy policy if our data processing or the legal framework changes. The version published on this page applies in each case. The date of the last update stated above is authoritative.
