AI in your industry · Property management

AI for property management: enquiries, exposés, daily overview.

Property managers and brokers live on enquiries: tenants, owners, prospects, tradespeople. AI sorts and prepares; people decide and sign.

In a property management firm almost everything lands with the same two or three people: the damage report, the notice, the service-charge question, the enquiry about a listing. Each is simple on its own. Together they fill the day. The lever is not a new system but what happens by hand between inbox, portal and management software.

That is where we start: enquiries are recognised, pre-sorted and drafted; exposés go out within an hour; the morning begins with an overview instead of a search. Tenant and owner data stays in Switzerland or the EU, and nothing is sent before someone in the firm has approved it.

What was on the table in the conversations

Three approaches, anonymised, from conversations with companies in the region. No measurements from client projects, only the approach that was discussed.

Triaging enquiries

Approach
Request recognised, pre-sorted, reply drafted. Approved by the property manager.

Answering property enquiries

Situation

Approach
Matching exposé, viewing slot proposed, follow-ups prepared: within an hour instead of the next day.

Daily overview

Situation
The morning starts with searching: inbox, portal, task list.
Approach
One briefing a day: what is due, who is waiting, what is overdue.

How we work

Always in the same order: take stock, set the rules, approve, review. The framework is described on «What we do».

  1. Take stock

What is already running: officially, unofficially, and what the vendor quietly switched on.

  2. Set the rules

Three data classes, one accountable person, one sentence on disclosure.

  3. Approve

Every tool through the decision tree: open, with a condition, never. The condition is written down.

  4. Review

A date, not “regularly”. What could go wrong is named, and how large the damage would be.

Questions from the industry

May tenant data go into an AI tool at all?

Yes, under conditions: a business account with a data processing agreement, processing in Switzerland or the EU, no training on your data. That is exactly what stage 3 of the framework checks before a tool is approved. Sensitive data (e.g. debt enforcement records) stays out.

Will an AI answer my tenants?

No. The AI prepares the reply; a person in the firm reads and sends it. Where an AI does talk to tenants directly, say a chat on the website, that is disclosed.

We use an industry software. Do we have to switch?

No. We work with what you have. The automation reads from inbox and portal and files results where you work today.

Where could AI make the biggest difference in your business?

  • Perhaps your team spends too much time on administration.
  • Perhaps you pay for software that doesn't really fit.
  • Perhaps you have an idea for a new service.
  • Or you first want to know how to adopt AI safely.

Let's find out together.
