AI in your industry · Architecture

AI for architects: minutes, building applications, quote comparison.

Architecture is text work nobody pays for as such: minutes, applications, contractor quotes. AI takes over the write-up; the judgement stays with the practice.

Alongside drawings, an architecture practice produces enormous amounts of text: meeting minutes, building applications, tenders, quote comparisons, client correspondence. This work happens in the evening when the site is quiet, and it often reaches the client late. That is where AI makes sense: not in the design, but in the write-up.

A meeting becomes minutes with open points and owners the same day. A building application is read against the building and zoning code before filing, so the authority's query does not cost weeks. We built our own app for that, Baueingabe-Check-KAi. Contractor quotes in three formats are placed side by side, gaps marked. The decision is always the practice's.

What was on the table in the conversations

Three approaches, anonymised, from conversations with companies in the region. No measurements from client projects, only the approach that was discussed.

Meeting minutes

Situation
Minutes are written up by hand in the evening and reach the client late.
Approach
Prepared from the meeting the same day: open points, owners, dates.

Checking the building application

Situation
Whether the application complies only becomes clear when the authority raises questions.
Approach
Read against the building and zoning code, points to clarify marked with the paragraph. The office decides.

Comparing contractor quotes

Situation
Contractor quotes in three formats, line items that do not line up.
Approach
Placed side by side, gaps marked. The decision stays with the office.

How we work

Always in the same order: take stock, set the rules, approve, review. The framework is described on «What we do».

  1. Take stock

What is already running: officially, unofficially, and what the vendor quietly switched on.

  2. Set the rules

Three data classes, one accountable person, one sentence on disclosure.

  3. Approve

Every tool through the decision tree: open, with a condition, never. The condition is written down.

  4. Review

A date, not “regularly”. What could go wrong is named, and how large the damage would be.

Questions from the industry

Does this replace site management?

No. It replaces the typing. Site management decides what goes into the minutes and what the client sees. It just no longer does so at ten in the evening.

How reliable is the building-application check?

It shows exactly where to look, with a reference to the paragraph. It decides nothing. Responsibility for the application stays with the practice, and it does not replace the official record.

Our drawings and client data are confidential. Where do they go?

Into an environment with a data processing agreement, in Switzerland or the EU, without training on your data. What is especially sensitive stays out. We settle that before the first tool.
