AI in your industry · Trades business

AI for tradespeople: quotes, site reports, appointments.

In the trades the office catches up in the evening on what the site produced during the day. AI writes the quote draft, turns the report into the invoice and proposes the appointment. The owner approves.

Electrical, plumbing, landscaping, joinery: the business earns its money on site, and the office catches up in the evening: writing quotes, transferring reports, juggling appointments. Every quote that sits for three days is one a competitor has out faster. Every report that becomes an invoice weeks later is cash that is missing.

We build the flow so that the enquiry turns into a quote draft by itself (from the price list and earlier quotes), the report into invoice items and the appointment request into a proposal with a fitter scheduled. Nothing goes out before the owner has clicked approve. The quote assistant under Examples shows what that looks like.

What was on the table in the conversations

Three approaches, anonymised, from conversations with companies in the region. No measurements from client projects, only the approach that was discussed.

Quotes from the enquiry

Situation
Every quote is written in the evening: look up prices, fill the template.
Approach
Draft from the enquiry, price list and earlier quotes. Approved by the owner, then it goes out.

Site report becomes invoice

Situation
Hours and material are on the site report; the invoice is written weeks later.
Approach
Report read, line items proposed, invoice prepared. Nothing is forgotten.

Appointments and dispatch

Situation
Appointment requests by phone and email, the schedule in the owner's head.
Approach
Request recognised, slot proposed, fitter scheduled. Confirmed by hand.
On the building site

The report, captured on site.

The fitter speaks the report into the phone, Benetics AI turns it into a finished report, and we take it into the office: invoice, overview, your system. Velox-KAi is an official Benetics AI ambassador and may benefit from referrals.

How it fits together

How we work

Always in the same order: take stock, set the rules, approve, review. The framework is described on «What we do».

  1. Take stock

What is already running: officially, unofficially, and what the vendor quietly switched on.

  2. Set the rules

Three data classes, one accountable person, one sentence on disclosure.

  3. Approve

Every tool through the decision tree: open, with a condition, never. The condition is written down.

  4. Review

A date, not “regularly”. What could go wrong is named, and how large the damage would be.

Questions from the industry

We have no IT department. Who looks after this?

We do. That is the core of the offer: set up, run, adapt. One named contact, monthly. You do not need to hire anyone.

Are the prices in an automatically written quote correct?

They come from your price list and your earlier quotes. The AI invents no numbers. And it only goes out once you have read and approved the draft.

Is it worth it for a business of eight people?

We settle that honestly in the first conversation: how many quotes a week, how much office time per report. Below a certain volume it is not worth it. Then we say so.

  • Perhaps you pay for software that doesn't really fit.
  • Perhaps you have an idea for a new service.
  • Or you first want to know how to adopt AI safely.

Let's find out together.
